The unit for the Swedish Prison and Probation Service's Service Center (KSC) is part of the headquarters and belongs to the department for prison, detention, and probation. We support the authority with personnel and financial administrative services, support functions, travel booking, administrative efficiency, and the authority's switchboard function. KSC serves as an entry point and aims to resolve all incoming inquiries in a friendly and professional manner.

JOB RESPONSIBILITIES

We are now looking for staff for the summer for the Swedish Prison and Probation Service's central switchboard and visit booking.

In the switchboard, you are the spider in the web, connecting both internal and external calls within the authority. You are often the first contact for people calling the Swedish Prison and Probation Service, and your role involves helping to relieve the authority by directing calls to the right recipient and answering general questions regarding the agency's operations.

In the visit booking, you will receive phone calls from people who want to book visits to our prisons and detention centers. In this role, you are also a key person and often the first contact with the Swedish Prison and Probation Service for those who reach out to us. You will conduct bookings but also answer questions regarding visiting procedures and regulations.

You will be part of a group of about 16 administrators who work closely together and depend on effective collaboration within the group. The group also includes three caseworkers focused on core operations and the switchboard. The main working tool is the phone, as all contact with the public comes through this channel.

We work in teams to provide good quality and actively work to develop our staff and services. This means that you may also support other functions within our section.

QUALIFICATIONS

We are looking for someone who is calm, stable, and controlled in stressful situations. You work well with others, listen, communicate, and resolve conflicts constructively. You have the interest, willingness, and ability to help others and strive to deliver solutions. We also see that you communicate clearly, ensuring that messages are conveyed and that expectations are clear for all parties involved.

You are also aware of and understand how background, culture, and group affiliation affect yourself and others. We are looking for someone who has:

• High school education or other education combined with experience deemed relevant by the employer.
• Experience in service work via phone, for example through work in a switchboard, visit booking, or customer service.
• Ability to express oneself very well in spoken and written Swedish.
• Ability to express oneself well in spoken English.
• High IT literacy and experience using IT as support in the work.

It is meritorious if you have:

• Experience working within the Swedish Prison and Probation Service or other public sector.
• Experience in service work, for example in retail or restaurants.
• Experience working with the Trio agent phone system.
• Experience working in case management systems.
• Experience from the Swedish Prison and Probation Service's visit booking.
• Experience from the Swedish Prison and Probation Service's switchboard.
